Traffic Desk: AI Execution Around the TMS You Already Run

Traffic Desk is the intake layer of Agentic TMS. It reads every email and document, matches it to the right shipment, and prepares the next action. Your operators approve. Your TMS stays the system of record.

Watch Traffic Desk turn an inbox into reviewed actions in your TMS.
Where it fits

One Intake Layer for the Whole Shipment Lifecycle

Agentic TMS runs seven workflow steps, from quote to billing. Every step starts with something arriving in a mailbox. Traffic Desk catches it, reads it, and hands the right agent a ready action.

TRAFFIC DESK Classify · Match · Plan · Approve · Write back

Runs under all seven steps. Starts with one mailbox and grows step by step.

Customs brokers

Entries Start Complete

Product facts, HTS history, and PGA data are already on file. Gaps are found before submission.

Operations

The Inbox Becomes a Queue

Every message lands on the right shipment and the right desk, with the next step drafted.

Finance

Revisions Without Rework

Revised invoices add or replace lines by your rules. Every change has an approver and a source.

Sales

Quotes Before the Competition Replies

Rate requests are read on arrival. Your contract rates are looked up and a priced quote is drafted for review.

How it works

From Inbox to Action Plan, Not Just Extracted Fields

An email arrives. Traffic Desk reads it, identifies the intent, finds the shipment it belongs to, and prepares what should happen next. Extraction tools hand back fields. Traffic Desk hands back a reviewed action on the right shipment.

STEP 1

Classify

Message and attachment intent, across 100+ document types. A rated arrival notice never gets mistaken for a pre-arrival notice.

Attachment: REV_INVOICE_4821.pdf → Invoice revision
STEP 2

Match

Reference IDs resolved against your live shipment, organization, and product records, so the communication finds its shipment.

Ref “SHA-4821” → Shipment #4821 · 2×40’HC Dongguan→Chicago
STEP 3

Plan

The agent drafts the action: update this job, add these lines, request this missing fact, with the evidence attached.

Plan: ADD 2 line items · request FDA code for SKU 33891
STEP 4

Correct in plain language

“Ignore this one.” “Assign to the other shipment.” “Add, don’t replace.” Operators steer the plan conversationally, and the instruction sticks for the next similar case.

“Add the lines, don’t overwrite” → policy remembered
STEP 5

Approve at the gate

The operator sees the change and the source crop proving where every value came from. Never a blank screen, never a guess on an ambiguous character.

Container “MSKU44I2” flagged 0/O · 2/Z check → confirmed from document
STEP 6

Write back

Reviewed data and original documents land in your TMS and document repository. The audit trail records who approved what, and when.

→ Entry staged in your TMS · original PDF filed

Inbound communications often change an existing shipment rather than create one. Revised invoices add or replace lines according to the importer’s own policies, never a default overwrite.

Keep your system of record

Runs Alongside the TMS You Already Run

No rip-and-replace. Traffic Desk reads what arrives, finds the right shipment, prepares the work, and writes the reviewed result back through the same integration paths your team already uses.

Learned UI automation, where APIs stop
  • ✓API-first. Everything your TMS exposes through its APIs and integrations, we use.
  • ✓UI automation where APIs stop. For screens with no interface, automation learns the workflow once, then runs it repeatedly, audited, without burning model tokens on every execution.
  • ✓Modular by design. Start with classification and extraction only. Add workflows when you’re ready. Nothing is all-or-nothing.
Why not just an extractor?

Extraction Tools Read Documents. Traffic Desk Runs the Work

Document extraction alone

Reads the page. Stops at the field.
  • ✕Returns fields from a document
  • ✕Knows only what’s on the page in front of it
  • ✕You build and maintain the integrations
  • ✕Another tool for operators to log into
  • ✕Knowledge resets with every shipment
TRAFFIC DESK

Document intelligence + shipment context + execution

Reads the page, then does the work around it.
  • ✓Returns a reviewed action on the right shipment
  • ✓Knows the document, the shipment, the parties, and the product history
  • ✓Writes back through your system’s APIs, and beyond them where needed
  • ✓Fits inside the workflow your team already uses
  • ✓Product knowledge accumulates, audited, reusable
Product Catalog

Never Ask for the Same Product Fact Twice

Your importer and supplier parts database, kept current, so an entry doesn’t start from zero every time. Every fact your team learns becomes part of the product record, human-approved, and ready for the next shipment.

PGA Data Without the 3-Agency Cap

Products that touch FDA, USDA, FCC, EPA and more carry every agency’s fields on one product record: FDA product-code construction (processing state, packing medium, package size, commodity questions) included. When a document doesn’t state the answer, Traffic Desk asks the supplier once, stores the reviewed fact, and reuses it on every future entry. No more re-collecting the same PGA data shipment after shipment because the entry screen wouldn’t save it back.

Ask once

Missing Fact → Supplier Request → Answered Forever

1 · The gap, found by rule

“SKU 33891 has no FDA product code, so entry cannot be scored as trade-ready.” The gap list becomes the request, not a sticky note.

2 · The reply, wherever it hides

The answer often sits in the email body, not an attachment:

3 · Reviewed, then saved

Your team accepts the interpreted values; the email and the decision are retained as evidence. Nothing writes to the catalog without a person.

4 · Never asked again

The next shipment for the same part starts with the answer already on file. Supplier asked once; the fact is permanent.

Bring your data with you: existing parts databases migrate in, and spreadsheet updates are attributed to their source and date. Bulk ingestion. Full audit. No manual rebuild.

Work management

The Right Work, to the Right Desk, Before Anyone Asks

Traffic Desk knows your organization (branches, departments, teams, and roles) and routes each classified task to the person who owns it. Escalation stops being an email chain.

  • ✓Job milestones. Received → valid data → extracted → queue position with ETA → written to your TMS. Per job, not per complaint.
  • ✓Priority rules you define. The truck at the gate at 8am outranks the air freight tonight. Priority combines ETA, transport mode, and urgency. Your rules, not our guess.
  • ✓Ticketing that meets you. Alerts flow into your existing service-desk environment (Freshservice/Freshdesk).
  • ✓Resilience by design. Queue-threshold alerts and error notices fire immediately, and a shadow environment stands behind production.

Trade Rules, Versioned, So History Answers Back

Regulatory sources are monitored continuously, including CBP’s CSMS messages. A rule that changes before your entry lands gets flagged before filing, not as a rejection after.

RULE SET · OCTOBER
HTS 8543.70 · duty 2.6%current: no action needed

⚠
Pre-submission warning, not a post-filing rejection

“Entry 3120-8902 uses a code whose duty rate changes in 37 days. Filing as-is after the effective date will reject. File before Nov 15 or reclassify.” Every assessment keeps the rule version it ran against, so a March shipment is judged by March’s rules when anyone asks, months later.

Traffic Desk FAQs

Frequently Asked Questions

Answers About Logistics Inbox Automation, Product Catalog, and Human-Controlled Workflows

What Is Traffic Desk in Agentic TMS?

Traffic Desk is Deep Cognition's AI-powered intake and workflow layer for freight forwarders and customs brokers. It reads shipment emails and documents, identifies their intent, matches them to the relevant shipment, and prepares the next action for review. Traffic Desk is part of Agentic TMS and works around an existing TMS rather than requiring a system-of-record replacement.

How Does Traffic Desk Automate a Shared Logistics Inbox?

Traffic Desk classifies incoming messages and attachments, matches shipment references against existing records, and drafts an action plan. The plan can propose a job update, document upload, line-item change, or request for missing information. Operators review the evidence and approve the action before reviewed data is written back through the configured TMS integration.

Does Traffic Desk Replace Our Existing TMS?

No. Traffic Desk is designed to run alongside an existing transportation management system (TMS), which remains the system of record. It prepares work from incoming communications and returns reviewed data and documents through configured APIs and integrations. Teams can begin with document classification and extraction, then add workflows as their requirements and confidence grow. See Agentic TMS integrations.

How Is Traffic Desk Different From Document Extraction Software?

Document extraction turns information on a page into structured fields. Traffic Desk adds shipment, party, and product context to prepare an operational action, such as updating the correct job or requesting a missing product fact. It combines document intelligence with review, task routing, and TMS write-back, so operators receive a proposed next step rather than only extracted data.

Which Freight and Customs Documents Can Traffic Desk Process?

Traffic Desk supports classification across more than 100 document types. Logistics examples include commercial invoices, packing lists, bills of lading, arrival notices, booking confirmations, rate requests, and carrier invoices. Classification distinguishes document intent and variants. The fields to extract, output mappings, and supported workflows should be confirmed for the documents and integrations in your evaluation.

Can Operators Review and Correct AI-Proposed Actions?

Yes. Traffic Desk presents the proposed change and its supporting document evidence for review. Operators can correct extracted values or redirect the action in plain language, for example by assigning a message to another shipment or requesting that invoice lines be added rather than replaced. Approval rules determine which actions can proceed; an AI suggestion does not remove the need for a broker's or operator's judgment.

How Does Product Catalog Help Manage Missing PGA Fields?

Product Catalog stores reviewed product facts for reuse on later shipments, including fields needed by Partner Government Agencies (PGAs). Examples include FDA product codes, processing state, packing medium, package size, and relevant agency flags. When a required fact is missing from the documents, Traffic Desk can prepare a supplier-information request. The reviewed response is saved with supporting evidence instead of being collected again for each entry.

Can Traffic Desk Collect Product Information From Supplier Emails?

Yes. Traffic Desk can prepare a request for missing product information and interpret a supplier's reply, including answers in the email body. Your team reviews the proposed values before they are applied to Product Catalog. The supporting communication and change history are retained, making the fact reusable and the decision traceable. Sending and approval rules are defined for the workflow.

How Does Traffic Desk Route Work Across Logistics Teams?

Traffic Desk uses configured branches, departments, roles, and reporting relationships to route classified work to the responsible desk or person. My Work, Oversight, and Team views support individual queues and manager visibility. Users can escalate an item with its shipment context. Availability-based rerouting depends on the leave and cover information connected to the workflow.

How Does Compliance Hub Support Customs Review?

Compliance Hub brings regulatory information together with shipment and product facts to flag issues before submission. Versioned rules help explain which requirements were used in an assessment, including changes that take effect in the future. These warnings support human review; they are not a guarantee of government acceptance or a substitute for professional customs judgment. Existing screening can remain in your TMS where appropriate.

How Can Managers Track Shipment Processing and Exceptions?

Traffic Desk exposes job progress and exceptions so managers can see where work is waiting and which items need attention. Priority rules can combine estimated arrival, transport mode, and urgency. Queue alerts and service-desk integration should be configured for the agreed workflow. The evaluation should verify which milestones, waiting-time estimates, and alerts are available for your implementation.

How Can We Evaluate Traffic Desk Before Rollout?

Start with representative documents and a defined workflow. Evaluate classification, extracted fields, shipment matching, proposed actions, exception handling, and TMS write-back against your team's acceptance criteria. Measure results on your own files rather than treating a general accuracy figure as a guarantee. Confirm integration scope, data handling, pricing, and approval rules before expanding into production. Book a Traffic Desk demo to discuss your evaluation.
